The loans out series contains not only information about the nature of the loans out and the exhibitions of which they form a part, but also valuations, conservation reports, damage reports and even correspondence with artists.

The main series is arranged alphabetically by town and then gallery. Each gallery has been given a unique reference number, e.g. TG 4/9/350 refers to Canada House.
Codes in the form 333.85.125 were given to each loan out from 1985 onwards. These are included in the list although they do not affect the basic filing structure.
Some files have also been paginated but these numbers can be misleading as they have been changed on several occasions. All the files need to be repaginated. Until then missing pages should not be regarded as such as they are either the result of changes to the pagination or the removal of duplicate and ephemeral items.
Items TG 4/9/329/1-42: The Arts Council was formerly known as the Council for the Encouragement of Music and the Arts (CEMA). There were initially two main series: short term loans and long term loans. The short term loans series was discontinued in 1985 and merged into the long term loans files.
Items beginning with the reference: TG 4/9/391 relate to loans out to the Greater London Council, its predecessor, London County Council and the Iveagh Bequest at Kenwood up to 1987. From 1987 loans out to the Iveagh Bequest are found in the items with references beginning TG 4/9/373.
